Terms & Conditions 2026

 

1. Bookings    

a) All bookings will be dealt with in order of receipt.

b) The payment is to be made in full at time of invoice and will be confirmation of your child’s place at the school or course.

c) Recurring late payments will incur a penalty charge of £5 per week to cover admin costs. If the payment has not been received before the first date of the new term, your child may not be allowed to participate until payment is made. This may resort in them being asked to leave or sit out of the lesson until an adult has collected them.

d) Acknowledgement of your booking will be sent on receipt of payment.

 

2. Cancellation of a course or class

a). Courses/classes may be cancelled by the Afonso School of Performing Arts if they fail to attract a viable number of participants, or if the teacher is sick, injured or unavailable. If it is not possible to cover or reschedule this class, full refunds of tuition fees will be made in these circumstances for the missed/remaining classes in that period.

b). In the circumstance that a class is cancelled for the above reasons and the class is rescheduled for an alternative time, no refund will be due.

c). If a class is cancelled due to bad weather, or any other circumstance that is of no fault of Afonso School of Performing Arts Ltd. (including Covid-19 related instances), no refund will be given. This will only happen in extreme circumstances.

 

3. Withdrawals and refunds

3.1 Tuition fees for term bookings

a) A full 4 weeks notice of cancellation must be given before each new term or you will incur a fine of 50% of the total fees for the following term. This includes cancellation of individual classes. It is not possible to cancel mid-term.

b) Once the due date has arrived you are expected to pay the full amount, or agreed instalment amount. Failing to pay may mean your child loses their place at the school.

c). Once payment has been received, there will be no refunds for withdrawals. Reasons for withdrawals can include injury/illness, homesickness, personal or family reasons inter alia.

d) If it has been agreed by the Principal that you can pay in instalments, you must sign a direct debit mandate. If your child decides to cancel a class mid-term, the full amount must still be paid, whether or not classes are attended. It is not a pay-as-you-go option.

 

3.2 Holiday Camp fees

a) Payment is made on day of booking and is non-refundable.

b) In special circumstance, you may apply for a part-refund at the amount of 50% up until 4 weeks before the camp date, but this is at the discretion of the Directors.

c) Special considerations include serious injury or illness, bereavement and moving away from the area

 

3.3 Notice of Withdrawal of term bookings

 

Notification of withdrawal must be put in writing via email, after which acknowledgement will be issued. Date of receipt will be the date on which the email or letter is received by the Principal. The Afonso School of Performing Arts takes no responsibility for non-receipt of email.

 

4. Online tuition

a). By allowing your child to participate in online classes, you have agreed to the disclaimer sent to you beforehand. You also agree that it is your responsibility to ensure the safety and wellbeing of your child in your own home.

b). Links, meeting ID and passwords for online classes may not be shared to any other person, whether that be a friend, member of your child’s class, or a member of the public. This is for safeguarding and security. Only the teacher or Principal has the authority to share these links.

c). You acknowledge that technical issues may arise due to signal or server problems from time to time, and that in this circumstance, the teacher will continue the lesson to the best of their ability. It is not their responsibility, or that of the Afonso School of Performing Arts Ltd. to send over a recording of the class or alternative, and no refunds can be given for missed content.

d). No recordings of the lesson will be shared under any circumstance unless prior agreement is made with parents and students.

 

5. Change of teacher

There may be a change of teacher at any point during the term or course. Either to cover the regular teacher in times of illness, holiday or personal reasons. Or at times, to replace the previous teacher altogether. This is at the discretion of the Principal.

 

6. Use of photographs and videos

Videos or photos may be taken during class times and performances and may be used for promotional and marketing purposes. If you would like your child withdrawn from this clause, please send a written, signed declaration.

 

7. Attendance

a). Each child attending lessons at the Afonso School of Performing Arts must show excellent attendance. The principal must be notified of an absence, with good reason. Poor attendance may lead to the child being unable to be entered into examinations and/or performances/competitions.

b). If you child has missed too many lessons on the run up to an examination or show, the Principal has the right to not enter said student, or allow them to perform due to health and safety reasons. Written confirmation will be sent and the decision is final.

b). If the class is full and your child has missed more than 50% of classes, the Afonso School has the right to offer the place to someone else the following term.

 

8. Uniform

All children must wear the correct uniform, as shown on our website, or suggested by the Principal, after the settling in period of 6 weeks. Uniform can be ordered through our online shop or purchased in store. 

 

9. Examinations, competitions and performances

a). Examinations, competitions and performances are not compulsory, yet if your child has been invited to participate, and you accept, you are to show full attendance and will be expected to attend and pay for additional classes in this subject leading up to the exam, competition or performance date. You will be notified of these extra lessons with reasonable notice (minimum 48 hrs prior). Failure to attend may lead to your child not participating in the event due to health and safety reasons.

b). All choreography and music edits are legally owned by the Afonso School of Performing Arts and/or the relevant staff member. The choreography must not be used elsewhere without prior permission and must not be replicated for personal use.

d). Competitions can only be entered via the school, not privately unless with permission from the Principal.

 

10. Behaviour

a). We expect all children and parents to respect one another, our members of staff and volunteers. Bullying and/or abusive language or behaviour will not be tolerated and may lead to your child being expelled. In this circumstance, no refund will be given.

 

11. Privacy protection

a). Please do not share photographs, or video clips of other people’s children without prior permission.

b). Please do not share the content of any email from the Afonso School of Performing Arts Ltd. without prior permission. This may include verbally, or online.

 

12. Data protection and safeguarding responsibilities

a). As a customer of the Afonso School of Performing Arts Ltd., it is your responsibility to keep up to date with our data protection and safeguarding policies. These can be found on our website or can be requested via email at any time.

b). It is your responsibility to keep us informed of any changes in your personal data, including, but not limited to change of address, emergency contacts, email address and medical information of your child. This can be done via the customer portal or by emailing the school directly.

c). By agreeing to these terms, you have also agreed that we can take photos and/or videos during class times, and during performances or dress rehearsals. You are also knowledgeable that we may or may not share these on social media or for any other marketing purpose. You are within your rights to refuse this, but you must let us know via email so we can log this on our system.

b). The Afonso School of Performing Arts Ltd. is fully compliant with the most current data protection laws, and is registered with the ICO (Information Commissioners Office) under registration reference:   ZA341463

 

13. Covid-19 related issues

 

13.1       Cancellation of classes

a). It may be necessary by law to close the Afonso School of Performing Arts or individual classes due to local or national lockdowns, or if a child/teacher become infected with the virus in your child’s bubble.

b).  In the case of full school closure, all classes will move online following the same timetable as the current payment period. If the period of online classes extends due to a national lockdown, for instance, an alternative timetable may be provided.

 

13.2      Refunds

a). Refunds will not be made in cases where cancellation of lessons is necessary due to any matter relating to Covid-19. This is inclusive but not restricted to closure caused by a local or national lockdown, Covid-related illness in your child’s bubble or Covid-related illness of the teacher.

b). If your child has symptoms of the virus, they will not be allowed to attend lessons at Afonso School of Performing Arts, and advice should be taken from the most up to date government guidelines with regards to self-isolating and testing.

c). In the case that we need to move all studio lessons online, and if your child is unable to participate via Zoom, no refunds will be made.

 

13.3. Rules and regulations relating to Covid-19 protocols

a). If a child has any symptoms of Covid-19 they must not attend lessons in the studio but may participate online if they feel well enough.

b). If a child has any symptoms during the lesson, the child will be removed from the lesson immediately and a parent or carer will be expected to collect them.

c). The Afonso School of Performing Arts have the right to remove any child from class with immediate effect if they refuse to follow the strict protocols put in place when attending lessons. This has been set out in our Student Behaviour Policy and it is the parent’s responsibility to talk through the key points with their child before attending. Expectations will also be explained during the lesson with the teacher.

 

14. Acceptance of these terms

Your payment, and your child’s attendance of the classes, act as your acceptance of the terms and conditions stated above. It is your responsibility to regularly check the terms and conditions, as they may alter from time to time. We advise you read the terms and conditions before each new termly payment.
